How much does IT support for companies in Portugal cost: models and pricing factors — DataRoad

How Much Does IT Support Cost for a Company in Portugal

3-minute readDataRoad

In summary

  • Two models on the market: targeted intervention in time subscription the monthly fixed cost.
  • The price depends on the number of workstations and servers, the criticality of the operation and the agreed response times.
  • The lowest value usually delete travel, overtime and monitoring.
  • Compare total annual cost, not the hourly rate.

One of the first questions any manager asks before hiring IT support is simple: How much will it cost? The answer is not a single number — it depends on the number of jobs, the criticality of the systems and the intended service level. But it is possible to give a realistic guideline, based on the most widely used contracting models in Portugal.

The two most common models: one-off vs monthly retainer

In the Portuguese market, companies typically choose between two models:

  • Ad-hoc support (pay-per-incident): You pay by the hour or per call-out, with no monthly commitment. It usually looks cheaper at first glance, but the total cost becomes unpredictable — and it doesn't include proactive monitoring, meaning problems are only detected after they are already affecting operations.
  • Monthly subscription (managed services): a fixed monthly fee that covers support, continuous monitoring and, usually, a set number of hours. It is the model most commonly used by SMEs with 10 or more workstations, as it transforms a variable and unpredictable cost into a fixed and budgetable one.

The hourly rate hides the real cost. A low tariff with call-outs, emergencies and out-of-hours billed separately can end up being more expensive than a retainer that includes everything.

What factors influence the price

Regardless of the model chosen, the final price is determined by a set of concrete variables:

  • Number of workstations and users to cover — normally the factor with the highest weighting in the calculation;
  • Infrastructure complexity — number of servers, whether there is an Active Directory, VPN, dedicated firewall, among others;
  • Service level agreement (SLA) — guaranteed response time and availability of support outside of business hours or 24/7 (Premium 365);
  • Services included — whether the agreement covers only reactive support or also monitoring, managed backups, licence management and security;
  • Requirement for onsite technical travel versus fully remote support;
  • Sector of activity — companies with more demanding regulatory requirements (healthcare, banking, the public sector) tend to need a superior level of service.

Why the lowest price is not always the cheapest

An ad-hoc support proposal with a lower hourly rate can, in practice, end up costing more by the end of the year: every incident represents an additional cost, there is no guarantee of response time, and the lack of continuous monitoring means that disk failures, corrupted backups or missing security updates are only detected once they have already caused a problem — which is usually more expensive to resolve than it would have been to prevent.

It is for this reason that most companies with more than 10 employees end up migrating from ad-hoc support to a managed retainer model.

How to work out whether it is worth switching to a retainer

A simple way to evaluate this is to add up, over the last 12 months, all the ad hoc support invoices paid to external suppliers or the time an internal employee spent resolving IT issues instead of doing their usual work.

This value, divided by 12, provides a direct basis for comparison with the monthly cost of a retainer — and usually reveals that reactive support was already costing more than it seemed, only in a more dispersed and less visible way on each invoice.

What to ask before signing

  • What is included precisely in the monthly fee — support, monitoring, backups, security?
  • Is there a limit on hours or calls, or is the support truly unlimited?
  • What is the guaranteed response time for critical incidents?
  • Are there any additional costs for an on-site technical call-out?
  • Does the contract include a minimum term period, or can it be cancelled with reasonable notice?
