Macs in the workplace: how to manage, protect and support an Apple fleet

8 min read · DataRoad

In summary

  • A Mac park is only managed well from a central console (MDM): each Mac is configured, encrypted, and updated without anyone going through the employee's desk.
  • As of April 14, 2026, Apple Business (which replaced Apple Business Manager) is free and already includes device management.
  • Four non-negotiable minimums: FileVault active with the key stored by the company, deadlines for updates, backup outside the Mac, and the exit of employees in one step.
  • DataRoad is an Apple Technical Partner and manages mixed fleets — Mac, Windows and Microsoft 365 — with the same contract.

Macs in the company They are now a common choice in management, design, technology and consulting teams. The short answer for those who decide: a Mac is secure, but it cannot be managed alone. Without centralized management, each laptop is an island — with its passwords, its updates lagging behind, and its files out of any backup. With centralized management, 10 or 200 Macs behave like a single park, controlled by the company.

Why a business Mac needs management

Delivering Macs as if they were for personal use works as long as the team is small. It stops working the day one of these scenarios happens:

  • A laptop is stolen in the car or forgotten in an airport, with the customers' data and offers inside.
  • A collaborator leaves and takes with them the only administrator account on the Mac — and the recovery password.
  • A serious vulnerability is fixed by Apple, but half the team delays the update for weeks.

The problem isn’t the Mac. It’s the lack of a management model — and that model has a name: MDM.

MDM: the control panel of the Apple park

In simple language: MDM (mobile device management) is a console where the company sets rules for all Macs, iPhones and iPads at once — mandatory encryption, deadlines for updates, applications to install, corporate Wi-Fi. The Mac receives these rules over the internet, whether it’s in the office, at home or in another country.

With MDM, the company can, among other things:

  • Deliver a new Mac that is still sealed and let the employee set it up on their own when they connect it for the first time (the so-called “zero-touch” installation).
  • Mandate the disc to be encrypted and keep the recovery key on the company side.
  • Block or erase a lost or stolen Mac remotely.
  • Knowing at any time which Macs exist, who uses them, and what version of the system they are on.

Apple Business: the starting point, now free

In March 2026, Apple announced Apple Business, available since April 14, 2026 in more than 200 countries and regions. It replaces Apple Business Manager, Apple Business Essentials, and Apple Business Connect, and is free. It includes integrated device management, pre-defined settings for new Macs, Apple accounts managed by the company, and application distribution.

Two details matter to those who make decisions. The “zero-touch” installation only works with equipment purchased from Apple or authorized resellers: buying from the right channel saves hours in the future. And managed Apple accounts can be created automatically from Microsoft Entra ID, the user directory for Microsoft 365.

The Apple Business is the foundation. In larger parks or with specific requirements, a dedicated management platform is added.

The four pillars of security for a business Mac

Pilar What should be done The risk is if it is not
Cifra (FileVault) FileVault active on all Macs, with the recovery key stored on the company console A stolen laptop exposes all the files; a locked Mac becomes irrecoverable
Updates Maximum time set by the company for installing security updates Known vulnerabilities that have already been fixed remain open for weeks
Backups Data from the company's cloud services and a copy off the Mac, tested A breakdown, theft, or ransomware take work that doesn’t exist anywhere else.
Accounts and access User without administrator privileges, MFA on cloud accounts, password with rules Unauthorized software, accounts taken over by phishing, access that no one controls

FileVault: the encryption that comes already in the Mac

FileVault encrypts the entire disk using the AES-XTS algorithm: without the user's password or a recovery key, the data becomes unreadable. With MDM, the company forces you to activate it right at the initial setup and stores the encrypted recovery key on the console.

The decisive point is the key. If the recovery key is left solely with the employee, the company loses access to the data the day they forget their password — or they have a bad experience.

Backups: the Mac is not the company's file

The rule is simple: work lives in company services (OneDrive, SharePoint, or equivalent) and there is an independent copy of these services. A local copy on an external disk helps, but does not replace one. Managed and tested backup.

Accounts: MFA for everything that is in the cloud

The Mac may be perfectly protected and the email account may be taken over by phishing. Multi-factor authentication closes that door — we explain how to implement it without hassle in the article about MFA in the company.

Entering and leaving employees without improvisation

This is where a managed park pays off: entry and exit fees no longer depend on someone's memory.

Entry of a collaborator

  1. Create the account in Microsoft 365 (and, by syncing, the managed Apple account).
  2. Assigning the Mac to the console: the equipment receives settings, applications, and Wi-Fi when connected.
  3. Confirm FileVault is active, the key is stored, and MFA is configured on the first day.

Departure of a collaborator

  1. Block the Microsoft 365 account and end active sessions.
  2. Retrieve the Mac and confirm that the work files are in the company's services.
  3. Erase the Mac from the console and reassign it — or route it to destruction with safe deletion.

Macs and Windows in the same office

Most of the companies we follow are not “just Apple”: they have Macs in their management and creative teams, Windows PCs in their operations, and Microsoft 365 bringing everything together. It works well with three clear rules:

  • One identity per person. The same Microsoft 365 account gives you access to email, files, and Teams on Mac and PC.
  • The same safety rules apply. Figures, updates, MFA, and backup are required for everyone, regardless of the system.
  • A single support partner. When there is a printing or network problem, no one should argue about whether the fault lies with “the Mac” or “the Windows”.

A real case: Reltio, Macs, Dell and Cisco in the same contract

At the Lisbon office of Reltio, an international data software company, DataRoad provides ongoing IT maintenance, technical consulting, and network management under the IT Unlimited regime. The equipment is mixed: 40 MacBook Pro computers, 35 Dell equipment, 125 structured network points, and Cisco Meraki infrastructure — a firewall, 3 switches, and several Wi-Fi access points.

Macs and PCs side by side, professional networking and a single contact responsible for everything. Read the Reltio case.

DataRoad is Apple Technical Partner and provides remote, on-site, and telephone support for Apple parks across the country. The plan IT Unlimited Premium includes on-site assistance, for when a Mac really needs the help of a technician.

Frequently Asked Questions

Does the Apple Business have costs?

No. According to Apple, Apple Business is free in more than 200 countries and regions. There are paid optional services such as additional iCloud storage and AppleCare+ for Business. The actual cost is in setting up and operating the management on a day-to-day basis.

Can the Macs we already have be managed, or only the new ones?

Both can be managed. New Macs purchased from the right channel set themselves up automatically. Existing ones can be enrolled in management, usually with a short intervention on each device, planned so as not to disrupt the team.

With MDM, does the company see the employee's personal files?

That is not the goal. Management applies rules and settings. According to Apple, managed Apple accounts separate work data from personal data on the device in a cryptographic way.

Does it make sense to have Macs if the company uses Microsoft 365?

Yes. Microsoft 365 works on Mac and the accounts can be the same. The essential is to apply the same security rules and have a single support partner for the entire fleet.
